Safeguarding Statement for Families and
Children
What Is Safeguarding and Why Do We Do It?
Safeguarding is any action taken to protect children (those under 18), and adults
(those aged 18 or over) at risk (as defined in the Care Act 2014) from harm, whilst
supporting their wellbeing and welfare. We will always safeguard the people we
have contact with.
Safeguarding is something that we take seriously because we believe in supporting
the wellbeing of others as well as their education.
How Do We Safeguard Children, and Adults at risk?
We have a safeguarding team which stays up to date with safeguarding laws and
guidance. Our team have criminal background checks - enhanced DBS checks, and if
they've lived abroad in the last 5 years they have an overseas police check too.
Our safeguarding team support our staff to be able to safeguard those we have
contact with. They ensure the staff have confidential ways to report any concerns
they may have for the wellbeing of children, or adults at risk.
When we work with schools or learning institutions, we make sure we're familiar with
their safeguarding policies and team to ensure we can effectively communicate any
concerns if we need to.
We guide tutors we work with to obtain enhanced DBS checks, engage with
safeguarding training and resources, and know how to report any concerns they may
have.
Who Might We Contact About Concerns?
If we have genuine concerns for the safety or welfare of a child or adult at risk we
may need to seek advice on how to best support them, which could mean contacting
other official services (e.g. the police or local authority safeguarding teams). We
cannot promise to keep anything a secret when it concerns safety, but only because
we care about the wellbeing of others.
Health and Saftey Policy Statement
2 Cool 4 School Tutoring (“the Company”) is committed to ensuring the health, safety, and welfare of tutors, students, parents, and all stakeholders involved in the provision of tuition services.
This policy aligns with the Health and Safety at Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999, and recognised best practices within the tuition sector.
Scope
This policy applies to all tuition activities delivered by 2 Cool 4 School Tutoring, whether conducted:
At hired or partner venues used by the Company.
At a student’s home.
Online via virtual learning platforms.
Responsibilities
The Company (2 Cool 4 School Tutoring)
The Company will:
Conduct risk assessments for all tuition settings to identify and reduce potential risks.
Provide appropriate health and safety guidance to tutors and staff.
Ensure tutors, students, and parents are aware of health and safety procedures, including emergency protocols.
Maintain appropriate insurance and safeguarding standards.
Tutors
Tutors working on behalf of 2 Cool 4 School Tutoring must:
Follow all health and safety procedures and guidance.
Report hazards, incidents, or concerns to the Company promptly.
Maintain safe, organised teaching environments.
Clients (Parents / Guardians / Students)
Clients are responsible for:
Providing accurate information about medical conditions, allergies, or additional needs.
Ensuring a safe and suitable learning environment where sessions take place in the home.
Supervising minors where appropriate.
Health and Safety Measures
1. General Safety Across All Settings
Maintain up-to-date emergency contact details for students.
Ensure awareness of fire safety procedures where applicable.
Tutors should have access to a basic first aid kit when delivering in-person sessions.
Keep walkways clear of trip hazards.
2. In-Person Tuition at Venues Used by 2 Cool 4 School
Carry out regular venue risk assessments.
Ensure adequate lighting, ventilation, and clear access routes.
Collect relevant medical information before sessions.
Ensure fire procedures are known and visible where applicable.
3. In-Person Tuition at a Student’s Home
Tutors should assess the environment on arrival for obvious hazards.
Parents/guardians must inform tutors of any medical or safety considerations.
A responsible adult should be present for sessions involving children.
4. Online Tuition
Secure, appropriate online platforms will be used.
Participants should ensure a safe physical environment during sessions.
Alternative contact methods should be available in case of technical issues.
Prevention of Injury or Harm
2 Cool 4 School Tutoring will:
Collect medical and emergency information during enrolment.
Encourage proactive hazard awareness across all learning environments.
Take reasonable steps to minimise foreseeable risks.
Injury or Medical Emergency Procedure
1. Immediate Action
Provide first aid if trained.
Call emergency services (999) if required.
Ensure the environment is safe.
2. Notification
Inform the parent/guardian immediately.
Notify the Company as soon as possible.
3. Recording the Incident
Complete an incident report including:
Time and location
Nature of incident
Actions taken
Individuals involved
4. Follow-Up
Review incidents to improve safety procedures.
Provide support and communication to those affected.
Monitoring and Review
This policy will be reviewed annually or sooner if:
Legislation changes
Operational changes occur
A significant incident takes place

2 Cool 4 School Tutoring is committed to the wellbeing and safeguarding of all children, adults, and staff who attend tuition sessions.
This policy’s main aim is to provide a clear and secure commitment to safeguarding and a framework to ensure all children attending 2 Cool 4 School Tutoring are protected from harm.
Under no circumstances will physical force ever be used as a punishment.
This Safeguarding and Child Protection Policy is written with consideration of the following Department for Education statutory guidance:

And the following HM Government guidance:

What to do if you’re worried a child is being abused (2015)
2 Cool 4 School Tutoring operates in partnership with the local authority safeguarding arrangements.
Where a criminal offence is suspected or has occurred, the matter will be reported to the police via 101, or 999 in an emergency.
Definitions of significant harm are taken from Section 47 of the Children Act 1989.

This policy is available to parents and carers on request and via the organisation’s website where applicable.
For the purpose of this policy:
“Children” refers to any student under 18
“Adults” refers to parents, carers, or responsible adults
Aims of this policy
Ensure everyone involved understands that safeguarding is everyone’s responsibility
Support any child who makes a disclosure

Provide additional support where needed
4. Reporting Concerns
2 Cool 4 School Tutoring recognises that children may face barriers to reporting abuse and will always act in the child’s best interests.
If a child discloses abuse:
We will listen calmly and without interruption
Record notes as soon as possible
Not promise confidentiality
Use open prompts (Tell, Explain, Describe)
Refer immediately rather than investigate
Referrals to children’s services will be made:
As soon as possible and within 2 hours where risk is suspected
Immediately where significant harm is suspected
The DSL will document:
Who raised the concern
Details of the child
Decision and rationale
Actions taken
Whether parents were informed
